What a bill scheduler is

A bill scheduler is a calendar of payments you owe on a repeating date. Each bill has a name, an amount, a due date, and a status (upcoming or paid). The point is to see the cash that must leave before the date arrives, not to discover the bill on the day it is late. People also search this as a bill calendar.

In Notion, one database and a calendar view is the scheduler. A budget template holds the monthly totals. This page holds the dates. If you already live in Notion Calendar, show this database there so a due date sits next to the rest of the day.

Fields and a sample

Name, Amount, Due date, Repeat (monthly is the common case), Paid (checkbox), and Confirmation (the last four of an account, not the full number). The sketch uses sample amounts so the calendar cells are readable. Replace them with your statements. Do not store full card numbers or passwords in the page.

When you pay, check Paid and leave the row. Next month, duplicate the unpaid pattern or use a repeating date. Deleting paid rows removes the history you need when a charge looks wrong. A monthly planner can show the same dates if you want one calendar for bills and deadlines.

  • Name: Rent, not 'payment'
  • Amount: from the statement
  • Due date: the date the payee uses, not the day you prefer
  • Paid: a checkbox you set when the transfer clears

How to set it up

  1. List fixed bills. Rent, utilities, phone, loans, subscriptions you intend to keep. One row each.
  2. Put the real due date on each. Use a Date property. A calendar view will not read a text field.
  3. Check Paid when it clears. Filter the calendar to unpaid if the paid rows make the month noisy.
  4. Compare the total to the budget. The sum of this month's rows should match the fixed bills on the budget page.

Questions

What is the difference between a bill scheduler and a budget?
The scheduler answers when each bill is due and whether you have paid it. The budget answers whether the month's income covers those bills and everything else.
Should I put account numbers in Notion?
No. A nickname and the last four digits are enough to tell two cards apart. Full numbers and passwords do not belong in a notes app page.
How do I handle a bill that changes amount?
Keep the row and update the amount when the statement arrives. If you need history, duplicate the row per month instead of overwriting it.
